As a Payroll Processing Specialist, your primary responsibility is to accurately process payroll for employees based in the United States and International locations, ensuring compliance with federal, state, and local tax regulations, as well as company policies while delivering timely and accurate payments to employees.
Requirements
- Calculate and process employee wages, salaries, bonuses accurately and in accordance with time records and employment contracts.
- Ensure proper deductions for federal, state, and local taxes, as well as benefits, retirement contributions, and other withholdings.
- Process payroll through specialized software such as Rippling, or similar systems, following established procedures and timelines.
- Review and process expense reports, If any.
- Stay informed about federal, state, and local tax regulations related to payroll, including updates to withholding rates, exemptions, and reporting requirements.
- Ensure accurate and timely filing of payroll tax returns, including Forms 941, W-2, W-3, and state-specific forms, in compliance with IRS and state tax agency guidelines.
- Reconcile payroll tax liabilities and payments, addressing any discrepancies or issues promptly.
- Ensure accurate global processing of benefit deductions (e.g., 401(k), health & benefits premiums), and manage the timely funding and remittance of flexible spending accounts to plan carrier
- Partner with HR to process new hire elections and enrollment changes in the payroll system, and resolve employee inquiries regarding pay stub deductions and contribution amounts.
- Maintain accurate records of employee earnings, deductions, and hours worked, ensuring compliance with record-keeping requirements under the Fair Labor Standards Act (FLSA) and other applicable laws.
- Generate payroll reports for management, accounting, and auditing purposes, providing insights into payroll costs, trends, and discrepancies.
- Reconcile payroll accounts and resolve any discrepancies or variances in a timely manner.
- Serve as a point of contact for employees regarding payroll inquiries, tax withholding, and pay-related matters, providing clear and timely assistance.
- Communicate payroll-related changes, deadlines, and policies to employees through various channels, such as email, slack, or employee meetings.
- Address payroll-related concerns or disputes professionally and confidentially and also collaborate with HR and management as needed.
