We are currently looking for a full-time Executive Assistant to provide administrative support to our Chief Executive Officer and Leadership team. The Executive Assistant must have excellent organizational skills, be able to multitask and prioritize conflicting needs, excellent communication with executives, ability to meet deadlines including a flexible schedule, able to work independently, and have exceptional follow-through.
Requirements
- Maintain CEO's schedule
- Maintain expense reports
- Organize and prepare minutes from meetings, travel and guest arrangements, and appointment scheduling
- Compile research, coordinate assigned projects, events, celebrations, and respond to inquiries
- Prepare and edit correspondence for senior leader's signature
- Screen and respond to inquiries and administrative problems brought to leadership team
- Formulate written communication or reports containing sensitive and confidential information
- Arrange conferences and meetings
- Attend meetings and record, transcribe, and distribute minutes in an accurate and timely manner
- Compile research on topics, oversee implementation of new systems, procedures and policies
- Coordinate schedules, conferences, webinars, seminars, and make travel arrangements for senior leadership and guests
- Coordinate company events and celebrations
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures
