The IMF's Resource and Information Management Division (RM) of the Fiscal Affairs Department (FAD) is seeking an Administrative Coordinator to provide operational and administrative support to the department, specifically to the Travel Claims Team, with responsibilities including processing travel expense reports, reviewing duty days, and monitoring adherence to the Lowest Available Direct Fare principle.
Requirements
- Process travel expense reports, ensuring accuracy, completeness, and data quality
- Review and certify duty days in accordance with mission records and applicable guidelines
- Determine standard entitlements and ensure compliance with Fund and departmental travel policies
- Monitor adherence to the Lowest Available Direct Fare principle to promote cost-effective travel
- Verify reservation details and ticketed itinerary costs against approved Travel Authorizations (TAs) and contractual terms
- Serve as the primary point of contact for travel-related issues
- Advise staff on travel policies and procedures
- Prepare periodic performance reports on FAD travel claims processing
- Identify and propose improvements to departmental travel policies and procedures
- Collaborate on special projects and cross-functional initiatives as assigned
- Advise CD project managers on capturing and managing capacity development activities in CDMAP
- Conduct quality control reviews of activities recorded in CDMAP to ensure data integrity
- Maintain the accuracy and timeliness of mission travel information in TIMS
- Assist in administering TIMS, including mission records, expert roster management, and Capacity Development (CD) report finalization
- Support the recruitment and contracting of short- and long-term experts
- Liaise with HR, Finance, and IT on matters related to contracts, security clearances, and travel logistics
- Ensure all activities comply with applicable Fund policies, regulations, and internal controls
- Contribute to the administration of externally financed CD projects
