We are seeking an Executive Administrative Assistant to the Vice President for College Advancement at Lycoming College. The successful candidate will provide administrative support to the Vice President and other senior staff offices, coordinate events and meetings, and handle various administrative tasks.
Requirements
- Provide general office management, including answering phone calls, separating mail, ordering supplies, and responding to requests.
- Coordinate the Vice President's meetings, calendar, travel, and interactions with other senior staff offices and administrative assistants.
- Plan and coordinate advancement staff meetings and meetings set by the Vice President.
- Prepare letters and responses to institutional correspondence, routine inquiries, and formal communications.
- Provide travel support for the Vice President, including scheduling appointments and making travel arrangements.
- Prepare agendas, materials, and minutes for meetings of the Advancement committee of the Board of Trustees.
- Support the Vice President in planning and executing meetings of the President's Leadership Council.
- Daily receive and distribute Advancement mail, and sort gifts for processing.
- Work closely with associate vice president and senior director to manage special projects and administrative needs.
- Prepare and coordinate monthly stewardship communications and anniversary solicitations.
- Serve as a resource for externally related activities and broader campus events.
- Provide support for Advancement and Alumni events and programs.
- Work closely with the president's office to coordinate activities between the President and the Vice President.
- Greet visitors to the Office of the Vice President and determine access to specific individuals.
- Prepare reports, memos, letters, financial statements, and other documents using various software.
- Reconcile and manage P-card usage for members of the College Advancement team.
- Maintain confidentiality in all office assignments.
