The GIZ Program Partners Support Assistant supports the Senior Taxes, Finance and the Partners Coordinator in ensuring resources are planned and utilized towards effective program support. The role involves compliance requirements, management information, procurement management, asset management, finance, and compliance.
Requirements
- Ensures compliance requirements of Mercy Corps and rules and regulations specified by the donors and host governments.
- Provides management information for decision making as required.
- Daily coordination of partners procurement activities.
- Lead process for partners’ procurement of goods and services, as required.
- Assist Program and partners in regular procurement planning meetings.
- Assists partners as needed in creating clear and understandable purchase requests and other documentation.
- Oversees the collection of quotations and bids from the market for PRs – participate in bid / proposal evaluation and due-diligence process.
- Oversee the asset registration and tracking procedure of the GIZ partners.
- Help partners with maintaining assets records, reconciliation with finance data and regular reporting – both financial and physical locations.
- Assist and follow up with GIZ partners on the submission and review of monthly financial reports and report to the Senior Coordinator.
- Review supporting documents for monthly expenditure transactions submitted by partners.
- Develop and maintain a checklist or template to standardize financial reporting and document submission from partners.
- Track and document recurring issues in partner reports and propose systemic improvements or training topics.
- Assist in the preparation and review of financial sections during partner audit processes, and support partners in responding to audit findings.
- Maintain a filing system (digital and/or physical) for all financial reports, supporting documents, and communication with partners, in accordance with GIZ and donor documentation policies.
