The Work Control Project Specialist (Maximo) supports facility maintenance operations by managing work control processes, coordinating preventive maintenance schedules, and administering the IBM Maximo Computerized Maintenance Management System (CMMS). This role is responsible for ensuring accurate work order creation, scheduling, tracking, and completion while supporting system implementation, configuration, and continuous improvement of maintenance workflows.
Requirements
- Administer and maintain IBM Maximo CMMS to support maintenance operations
- Support Maximo implementation activities
- Receive, review, and process maintenance service requests and generate Maximo work orders
- Schedule and dispatch technicians for preventive, predictive, and corrective maintenance tasks
- Maintain Preventive Maintenance (PM) schedules and ensure work orders are generated and completed according to established maintenance cycles
- Monitor work order status in Maximo and coordinate with maintenance staff to ensure timely completion and accurate documentation
- Record and update asset information, labor hours, materials, and maintenance history within Maximo
- Distinguish service tickets in the system and assign them to the appropriate maintenance department or technician
- Prepare and distribute work orders to service crews and coordinate service calls as needed
- Relay messages and special instructions to mobile crews and other departments using email, telephone, or system notifications
- Input technician time, completion notes, and maintenance documentation into the work management system
- Close out work orders in Maximo with detailed completion notes and documentation for asset history and reporting purposes
- Troubleshoot discrepancies within work orders, asset records, or maintenance documentation when necessary
- Maintain records of service calls and work orders through proper electronic documentation and filing procedures
- Support reporting and data analysis related to maintenance performance metrics, work order backlog, and asset reliability
- Assist with Maximo user support and training for maintenance personnel
