The Project Support Administrator position involves assisting F21 project managerial and project team’s daily tasks and procedures. You will coordinate with corporate office staff and construction site teams to maintain accurate written records regarding schedules, invoices, daily construction logs, etc. You will also assist in scheduling meetings and creating meeting materials in preparation.
Requirements
- Assist F21 Project leaders in maintaining records of job changes, including change orders, purchase orders, and work scheduling.
- Review documentation and manage contracts to ensure compliance.
- Assist with the issuing of material requests
- Organize office and assist associates in ways that optimize procedures.
- Sort and distribute communications in a timely manner.
- Schedule and plan meetings and appointments, create a master schedule for all team members. Arrange meetings, take or distribute minutes of meetings, help prepare Excel, Word, PowerPoint presentations.
- Resolve office-related issues, such as supplies, updating employee lists and contact lists, seating arrangements, etc.
- Coordinate and following up with sub-contractors and EORs on action items
- Create flow charts or other types of presentations to assist team members.
- Communicate and maintain trusting relationships with subcontractors, vendors, team members, and other external stakeholders.
- Manage the filing system, record information as needed, update required forms and paperwork.
- Maintain daily log of job site occurrences.
- Assist project team with safety compliance within the job site.
- Ensure the level of quality is being complied with.
- Able to work in a team environment.
- Assist in the maintenance of a clean job site, take direction well, detail oriented.
