The Administrative Coordinator will perform complex and diverse administrative duties in support of the day-to-day operations of the Data Science Institute (DSI) at the University of Chicago. The role includes event and administrative support, monitoring and ordering office supplies, and coordinating internal resources for event and meeting facilitation.
Requirements
- High-level administrative duties in support of office functions
- Event and administrative support, including booking conference rooms and assembling necessary paperwork
- Monitoring and ordering office supplies
- Overseeing and maintaining the physical office space
- Coordinating internal resources for event and meeting facilitation
- Assisting in other personnel matters, including faculty and staff recruitment and onboarding processes
- Maintaining visitor sign in log, locker log, and student storage log and archives
- Providing customer service to all users and visitors of DSI office locations
- Managing accounts and receiving, processing, and tracking bills and expense reimbursements on behalf of DSI
- Working with faculty, staff, procurement specialists, and other administrators to fulfill all routine aspects of the procurement process
- Managing special projects or functions related to the business of the organizational unit
- Adapting workflows to accommodate needs, priorities, and faculty and leadership expectations
- Preparing financial and/or administrative reports
- Providing administrative support for a leader
- Maintaining the leader's calendar
