The Document Control Associate is responsible for managing and maintaining the company's documentation system, ensuring all documents are properly controlled, up-to-date, and accessible to authorized personnel.
Requirements
- Maintain and organize physical and electronic documents to ensure easy retrievability, as well as maintain proper distribution, access, preservation, and retention.
- Distribute documents to appropriate stakeholders as required.
- Enter document data into management systems with accuracy and completeness.
- Scan, print, and make copies of documents
- Provide general administrative support to the document control team.
- Assist with preparing documents for review and approval.
- Support the implementation of change control tools.
- Control (generate, modify, update, archive, etc.) serial numbers in the ERP database and ensure accuracy and consistency of labeling physical products.
- Ensure all documents meet company Quality Management System requirements.
- Assist in preparing and providing documentation for audits and inspections.
- Assist in regular audits to ensure document integrity and compliance.
- Coordinate with various departments to gather, review, and process documents.
- Set up the employee training requirement and maintain the training records.
- Assist the Document Control Specialist and Technical Document Writer in developing and maintaining training materials and user guides for document control systems.
